Plan Business Analysis Information Management
Six months after launch, a developer may ask which version of the cancellation rule was tested. If the answer is a file named “final new 3,” the information management approach has failed. This task decides how analysis information is identified, organized, stored, reused, and made available to people who need it. Buying a repository tool is not the first step; software cannot repair an undefined classification or permission rule.
Start with types of information: business need, stakeholder requirement, solution requirement, business rule, decision, assumption, design, and test. These exist at different levels of abstraction. “Reduce waiting” describes a broad outcome, while “Do not display a reserved slot” specifies behavior. Do not put both into one undifferentiated text field. Assign a stable identifier that survives wording changes, and add a version, state, responsible role, decision date, and meaningful relationships. The identifier does not imply priority; it prevents confusion between records with similar names.
Define an information life cycle: draft, under review, approved, changed, and retired, with authority for each transition. Preserve decision history, not only the latest text. An interview note may include personal information and should have different access from a requirement derived from it. Collect only the personal data needed, distinguish access to raw notes from access to conclusions, and set retention according to the organization's actual policy. A local example does not establish a universal legal rule.
Traceability is a relationship with a purpose, not a large count of links. Connect a requirement to the reason it exists, to the design or rule that realizes it, and to a test that can reveal failure. When the reason changes, the relationship helps estimate impact. When a test fails, it points to the requirement rather than merely finding a similar word. Use fields that can be queried instead of placing every fact in free text. At the same time, do not demand thirty fields nobody uses. Choose attributes that support change decisions, reviews, and reuse. Before reusing an old requirement, inspect its context, assumptions, version, and authority; a similar title does not make an eligibility rule valid in another organization.
